This page explains what happens to the information you send through the enquiry form on this website. It covers the website enquiry flow only. It is not the clinic’s own privacy notice, and it does not govern medical records held by the medical provider.
Enquiry data
Kept simple, and limited to what you send us
We ask for as little as possible at first contact.
What the enquiry form collects
The initial enquiry form on this website collects:
- your full name
- your email address
- a phone or WhatsApp number, if you choose to provide one
- the procedure you are interested in
- your preferred travel timeframe
- an optional message
Why this information is used
Enquiry information is used to respond to your enquiry and to coordinate the next steps you have asked about, such as arranging a pathway conversation or preparing personalised guidance. It is not used for anything you have not asked for.
Please do not send health information at this stage
The initial enquiry form is not intended for medical records, medication lists, diagnoses, photographs or any other sensitive health information. Please leave those out of your first message.
To be accurate about what happens: the message box is free text. If you nevertheless include health or other sensitive information in it, that text may be stored as part of the submitted enquiry. It is not intended to be used as a clinical record and should not be relied on as one.
Clinical information is collected separately, at the appropriate stage, under a separate clinical process for surgeon review.
How enquiry data is stored
The initial enquiry details you submit — your name, email, optional phone number, the procedure and timeframe you have selected and any message you write — are stored securely in our enquiry database so that we can respond to you and manage your enquiry properly. The enquiry database is not publicly readable and is accessible only to the trusted server components that handle enquiries.
How long enquiry records are kept
Where an enquiry does not progress into an active patient pathway, we normally retain the initial enquiry record for up to 12 months after the last meaningful contact, after which it is deleted. We may keep a record longer where that is necessary to resolve a complaint, deal with a legal issue, or meet another legitimate operational or legal need.
If your enquiry does progress, later records may be governed by separate booking and clinical record requirements rather than this policy.
Temporary anti-abuse data
To protect the enquiry form from automated abuse, our server creates a short-lived, one-way pseudonymous hash derived from technical request details. Your IP address is not stored. These anti-abuse records expire and are deleted automatically, are used only to limit excessive submissions, and are never sent to analytics.
Sharing with a clinical team
If you ask us to progress your enquiry to clinical review, relevant information may be shared with the medical provider in Armenia so that your case can be assessed. Armenia is outside the UK, so this may involve an international transfer of your information. Nothing is shared for marketing purposes.
External clinical providers
Hospitals, clinics and clinicians are independent organisations. Where they receive information from you directly, their own privacy notices apply to that information.
Access, correction and deletion
You may ask for access to, correction of, or deletion of the enquiry data you have sent us. Requests are handled subject to applicable legal and operational requirements. Email armeniasurgerytravel@gmail.com and describe your request.
If you are unhappy with how we handle your information
Please contact us first so we can put things right. If you remain dissatisfied, UK residents may raise a concern with the Information Commissioner’s Office (ICO) at ico.org.uk. Our general complaints route is set out on the Complaints page.
